Policies

A valid credit or debit card is required to guarantee and pay for your reservation. Once we accept your booking you will receive a confirmation email with a payment link, and payment is due in full at that point.

There is no refund if you cancel. We will make every effort to reschedule your event within 72 hours where we can.

If we have to stop or cancel because of extreme weather, or because of a mechanical failure on our end, you get a refund.

The trailer was built for all conditions. It is insulated and climate controlled with both heat and air conditioning, so Las Vegas summers and winters are equally fine inside.

In extreme weather — a major storm, lightning, very high winds, flooding or extremely heavy rain — we reserve the right to reschedule in order to keep guests, staff and equipment safe. If you can see a severe weather event coming, contact us early and we will start rescheduling then.

We are not responsible for the weather, but the Game Coach is responsible for the play or no-play decision. It is their call to cancel or continue. If weather forces a cancellation before the party starts, you get a free reschedule or a refund.

We park in the most level, sensible spot available — usually the street at the end of your driveway. We may need to block the driveway. Tell us in advance if you have a preferred spot.

Our truck and trailer combination is long. We need a minimum of 55 feet of space, and we will not park anywhere that could endanger people, property or equipment.

The Game Coach will not disconnect the truck from the trailer at an event without prior approval, and will not park off a hardened surface. We will try to accommodate where you want us, but if the coach is not completely confident the trailer can be manoeuvred there without causing damage or injury, they will not do it.

A parent or responsible adult must be present at the home or event location at all times.

No children under 5 years old are permitted inside the trailer, for safety reasons. The equipment and the games are geared toward ages 7 and up.

For elementary school events we serve second grade and above only.

Our catalog spans a range of age ratings. The majority of what is played on a regular basis is rated E for Everyone or T for Teen.

If you want only E-rated games — nothing rated T for Teen or M for Mature — you must tell the Game Coach or truck operator on the day, before the event starts, so we know what to leave out.

Some games contain shooting, fighting and violence. If you do not want any of those played at your event, please tell us before the event starts.

We do not allow food or drink inside the video game trailer. Please have guests finish eating and drinking outside before they come in.

You may serve alcohol at a Vegas Gamerz event. We reserve the right to refuse, cancel or cut short any booking where alcohol is being served if the situation gets out of hand.

Drugs of any kind will not be tolerated in or around our equipment. Any observed use of illegal narcotics, or of legal narcotics used illegally, will end the party immediately.

Neither Vegas Gamerz nor its employees are responsible for damage to property resulting from a client request to position the trailer in a specific location. That includes both above-ground and below-ground property and equipment.

We reserve the right to charge the client’s card for damage to the trailer or equipment caused by careless or willful damage by the client’s guests.

Vegas Gamerz and its employees assume no responsibility for injuries sustained on the client’s property or at their designated location. All liability for damages or injuries rests with the client and/or host.

During your party the Game Coach may take pictures from inside the trailer. We may use these on our social pages or website, and you are welcome to copy them.

We never identify guests by name or give exact locations.

If you would rather the coach did not take or post pictures, tell them before your event starts.

Your Game Coach supervises, coaches and helps guests get the most out of the equipment. Tipping for good service is welcome but it is not required and nobody will ask.

We are committed to protecting your privacy. We use the information collected on this site to make booking as simple as possible and to improve your experience.

We do not sell, trade or rent your personal information to anyone.

A travel and fuel surcharge applies to locations more than 25 miles from our home location of North Las Vegas, Nevada 89031.

Charges are based on actual driving distance. The full table is on our service area page, and you will see the amount before you pay.
